Receptionist

Qualifications:

 

  1. Be a committed Christian who demonstrates a personal relationship with Jesus Christ as Savior and Lord

  2. Active involvement in a local church under the leadership of a pastor.

  3. Exhibit a strong commitment to the Biblical perspective of sexuality, marriage and abortion and dedication to the sanctity of all human life

  4. Agree with and be willing to uphold the Mission, Purpose, Statement of Faith, and Core Principles of Informed Choices.

  5. Have two years’ experience as a volunteer or employee in ministry.

  6. Have an Associates and/or Bachelor’s degree, preferably in a related field, or related equivalent experience.

  7. Have two years of experience in administrative position with direct experience as a receptionist/admin.

  8. Exhibit strong interpersonal, administrative and business communication skills along with clear and concise writing skills. 

  9. Able to manage multiple projects simultaneously and multi-task in a busy environment.

  10. Neat organized, and attentive to detail.

  11. Carry out responsibilities with little to no supervision.

  12. Spanish speaking is required.

Reports to: the Clinic Services Director of Informed Choices; will be evaluated on a yearly basis by the Clinic Services Director in both written and oral form.

 

Time: This is a permanent, part-time, at-will position.

 

General Responsibilities: The Receptionist’s primary duty is to assist the Clinic Services Director in attending to the day-to-day operations of the clinic, while providing a friendly and welcoming environment for clients, donors, volunteers and community partners. The Receptionist’s duties may include, but are not limited to:

 

Administrative

 

  1. Answer multi-line phones, respond to callers needs or questions, and route all calls.

  2. Check email and voicemail daily and respond promptly to inquiries or route call to appropriate staff member.

  3. Schedule and manage all client appointments according to center policies & procedures.

  4. Greet clients warmly and perform all check-in procedures including assisting clients with completion of digital and/or print forms.

  5. Prepare set-up for all client testing.

  6. Process STD tests for carrier pick-up.

  7. Assist in maintaining inventory of office supplies and ordering as needed under the direction of the Clinic Services Director.

  8. Assist in the ordering of needed office and medical supplies, educational materials and resources under the direction of the Clinic Services Director.

  9. Assist Clinic Services Director in keeping accurate record of client records.

  10. Assist Clinic Services Director with monthly/quarterly reports by tracking volunteer hours and client traffic.

  11. Assist Clinic Services Director with daily volunteer activities.

  12. Assist other departments with clerical duties as needed under the direction of the Clinic Services Director.

  13. Perform all opening or closing procedures and maintain a presentable office space and lobby.

 

Training & Supervision

 

  1. Assist with training new volunteers.

  2. Assist with supervising all volunteers.

 

General Participation

 

  1. Meet daily with the Clinic Services Director to coordinate work flow in the clinic. 

  2. Attend all staff meetings and fundraising/promotional events as needed.

  3. Attend training opportunities relevant to the position for the purpose of growth and development.
